October ZenCase Update

  • New Feature: Trust Reconciliation. Trust account reconciliation is the safest way to ensure your accounts are complete, accurate, and compliant. In most states, bar associations actually require law firms to do a three-way reconciliation for trust accounts on a monthly or quarterly basis. ZenCase allows users with the trust reconciliation permission to be able to compare trust general ledgers, client ledgers, and bank statements to reconcile trust transactions within ZenCase.   • New Report: Attorney Fee Petition. The Attorney Fee Petition report will display all attorney fees for a specific matter with fees total amount line item available when exporting to PDF. Attorney Fee Petition Report
  • New Report: Receipt Allocations Summary. The Receipt Allocation Summary report will display all charges that have allocated payments to the charges for a specific member, manager or originator. Receipt Allocations Summary Report
  • ATM suggestions you can now customize email descriptions from the Time & Expenses list page > ATM tab. Click on the “Settings” button and you will see a new “Custom Description” section where you can use template variables to customize your email description: {email_subject} – Subject of email and {recipients_emails} – Emails of email recipients.
  • Payments list page now supports a new “Matter Type” filter to filter all payments that have been allocated to a matter with that specific matter type.
  • Client A/R and Matter A/R reports can be filtered by invoice tags.
  • Member Productivity Report have new columns for: Billable Hours, Non-Billable Hours, Hours Removed, Pre-Discount Bill Amount, Non-Billable Value, Net Adjusted Value, Removed Value, Net Adjusted Hours, Pre-Discount Potential Hourly, % Billable, % Non-Billable, % Net Adjusted, and % Removed. You can also now filter by Invoice Status to view all unbilled, all billed, or by specific invoice statuses.
  • Collections Overview report is now filterable by client originator, client manager, matter originator, or matter manager.
  • Quick Add time entry, fixed fee, expense, task, or zen km item will set the matter if using the quick add button while already on a matter specific page.
  • All reports have the ability to save custom filters and use dynamic date ranges so “Today” will change as the day changes.
  • Task Budgets Report will now include the total amount of a matter’s untasked charges to be compared with charges that are linked to a task with a task budget defined.
  • Case Load report has a new filter for a member’s Division.
  • Zen KM will share filters across the Zen KM list page when applying filters so they persist when switching between different tabs.
  • Attorney Dashboard has been updated to include billed vs unbilled time as well as collections YTD values.
  • My Calendar will now use display colors set for an Outlook calendar and we now support Monthly list view and Weekly list view options.
  • Law Pay credit card and check accounts can now be configured at the client, matter, and invoice levels so you can decide for each invoice which account payments will be deposited.
  • Most reports have been updated to include a Totals row at the bottom of PDF exports. We will continue to update all reports to support totals for PDF exports.
  • Contacts, Members, and Vendors now support an Address Line 3 option and invoices will now display address line 3 if available.
  • Net Documents Integration support matter type, matter subtype, and jurisdiction profile attribute lookup tables. Firm administrators can configure their Net Documents integration to set profile attribute lookup tables to be set for matter types, matter subtypes, and juridictions in which ZenCase can push the corresponding items into the lookup tables. For matter types, if you want to link a ZenCase matter type with an existing Net Documents profile attribute item in a lookup table, then you can edit the Matter Type table item and choose the Net Documents Profile Attribute selection dropdown to link the two items between ZenCase and NetDocuments.
  • LEDES Law Firm ID can now be configured at the client level which will override the firm default Law Firm ID. Go to any client page and go to the “Settings” tab. Under LEDES, you can enter a new LEDES Law Firm ID. When you generate LEDES files from the Pre-billed or Invoices list pages, then you will see that Law Firm ID field will use the client configuration when present, otherwise will default to the firm Tax ID.
  • Data migration specialists have a new import workflow when they enable the Data Migration “Import” permissions. ZenCase staff will also need to enable the firm to be in “data migration mode” for you to view the new import workflow. Data migration mode is disabled after a migration is complete to ensure there are no other adjustments after a migration has been finalized.
  • Data migration specialists have the option to import payment line allocations with specific fee, costs, and interest amounts if available. Otherwise the default will be to define the total allocation amount and ZenCase will allocate according to business rules.
  • Data migration specialists have the ability to define cost type and soft cost name in the charges import via CSV template file.
