October Product Updates
• New Feature: Client Refunds. Members with permissions to access invoices and payments will now also have access to a new “Client Refunds” page which you can access from the left navigation bar under “Refunds”. Any unallocated payments currently existing can be used to create a client refund. You can also go to the Paynents list page, filter by Allocation Status: Unallocated, and then in the Action column, select “Issue Refund” for an individual payment refund.
• All date range filters on all tables now have an option to save filters with a dynamic date filter. You can now set “Today” as a filter to filter today’s items and if you save the filter going forward, when you re-apply the filter, then the date will always be “Today” based on the current date. If you have an existing saved filter with “Today” date saved, we recommend removing and saving a new filter with the date range. New filters will use the dyanmic date ranges.
• Memos have improved usability for adding and editing memos for contacts and matters.
• Viewing a specific payment allocation, the Allocated and Unallocated table listing now has columns for “Date” which is invoice date and “Due Date” which is the invoice due date.
• Firm administrators can now view the QuickBooks company information starting with the next time QuickBooks is connected for the firm. On the Firm Settings > Integrations > QuickBooks > Settings page, you will now see a General Information section which will show user email and company name.
• All financial tables that have a “In QuickBooks” column and has QuickBooks enabled for the firm will now show a link to view the item in QuickBooks. You will have to login to QuickBooks to view the actual QuickBooks item.
• Time & Expenses list table now has a “Task Type” column added to the table.
• Time & Expenses list page has a new bulk action for “Edit Show On Bill” which will set all time entries to show on bill yes or no with an option to set billable to yes or no as well.
• Viewing a specific matter tasks list, you can now select the checkbox to “Show Completed” tasks on the Gantt Chart page. By default, all completed tasks will be hidden. Previously, all tasks were visible.
• On the Invoices list page, there is a new Bulk Action to “Download Invoice PDFs” when multiple invoices are selected in the table.
• New Feature: Law Pay Integration. Firm administrators can now integrate the law firm with Law Pay accounts. Go to Firm Settings > Integrations > Law Pay. Click “Connect” and confirm connection with ZenCase. Then setup your credit card and e-check accounts. You can choose to use the default Law Pay image as the payment link OR you can use the payment link text. The default payment link text is “Pay Online” but can be overridden with the text that you choose. Payment links will display at the bottom of final invoice pdfs that are generated after Law Pay has been connected and configured. To enable convenience fees, you must contact Law Pay to turn on and set the percentage for accepting credit card payments.
• Firm Settings page for firm administrators have a new layout on the “Configurations” page. There are now tabbed sections for General, Billing & Payment, and Suggestions.
• Contacts list page you now have the ability to merge multiple contacts into a single contact. By merging multiple contacts, you select the “Primary Contact” in which to merge the other contacts into and this action will copy all contact details and billing information to the primary contact.
• Contacts list page is now filterable by a contact connection.
• Matters list page is now filterable by a matter connection.
• Tasks list page has been converted to the new “All Filters” design. Click “All Filters” will open a new right side panel to apply, save, and clear filters.
• Time & Expenses list page, you can now click on any of the daily hours summary days and your charges will be filtered by that particular day.
• Time & Expenses list page and also editing a specific pre-bill, you can now set a time entry to “Show On Bill” with “Yes” or “No” option. Time entries that do not show on bill will still be included in the invoice amount, however the line item will not show on the final invoice.
• Pre-Billed list page is now filterable by the time entry or expense member. A timekeeper can now view their pre-bills by filtering by charge member.
• Trust Balances report now has the same filters available as the Trust Transactions list page filters.
• Zen KM “All” tab now has a “Date” column which is also filterable by the “Resource Date” date type.
• ZenCase now has a Status Page which will be available at https://zencase.statuspage.io/
• New Feature: Hard/Soft Costs. ZenCase now supports hard and soft costs when entering expenses into the system. You can create expenses and set the “Cost Type” option as “Hard Cost” or “Soft Cost”. Firm administrators can define the soft cost types in Firm Settings > Settings > Soft Costs table. We support two types of soft cost bill types: Fixed Rate or Quantity Rate.
• Firm Administrators now have the ability to set Firm Settings > Custom Fields to be “Required On Open” or “Required On Close”. When a contact or matter is created, a user will be required to enter the custom field when “Required On Open” is set and this will be always required. When a contact or matter is set to another status that is not “Active”, then a user will be required to enter the custom field when “Required On Close” is set.
• Matter A/R report now has total summaries at the top of the report page and each client row has a total balance for the client.
• Member Performance Report has now been added to the Reports section to give an overview of the billed hours and effective hourly rate for each member. This report is also exportable to CSV.
• Trust transactions list page has a new filter to filter trust transactions by “Client Status”.
• Creating new matters will no longer default the Manager and will force users to enter the matter manager before saving.
• New Feature: Dated Rate Assignments. ZenCase now provides the option to set a specific date range when creating rate assignments. Dates are optional, however if a date range is set for a rate assignment, the dated rate assignment will take precedence if the time entry date is within the rate assignment date range.
• Invoices are now taggable and filterable by tags. On the Invoices list page, select the invoices with checkbox on each row, then click “Bulk Actions” > “Add Tags”. You will also see a new “Tags” column on the invoices table. You can also import invoices with a new “Tags” column.
• Payments are now taggable and filterable by tags. On the Payments list page, select the payments with checkbox on each row, then click “Bulk Actions” > “Add Tags”. You will also see a new “Tags” column on the payments table. You can also import payments with a new “Tags” column.
• Payments list page has new filters for “Matter with Unallocated Payment” and “Matters With Payment Applied”. Also, the filters have been moved to have a new “All Filters” button and new design where the filters will open in a right panel where you can apply, save, and view filters.
• Trust Transactions are now taggable and filterable by tags. On the Trust Transactions list page, select the trust transactions with checkbox on each row, then click “Bulk Actions” > “Add Tags”. You will also see a new “Tags” column on the trust transactions table. You can also import trust transactions with a new “Tags” column.
• Contact > Billing and Matter > Billing tabs, the invoice ledgers will now have the final invoice PDF available when you click on the invoice number, even if the invoice has been deleted. ZenCase now persists the deleted invoices for reference.
• Invoices now support imports with a “Discount” column for when you need to import invoices that have discounts applied.
• Pre-Bills and Invoices will no longer display the “No Payment Due” message in the top right corner of the invoice PDF when there is a trust replenishment amount due and the invoice total due is $0.
• Matter A/R Report now has a new “As Of” date filter so you can view a snapshot of the A/R report from a certain date and view all the respective date ranges as of that specific date.
• Pre-Billed list page now has a new “History” tab so you can view changes specifically for pre-bills. Invoices > History page will only display audits for final invoices, no pre-bills.
• Memos can now be grouped as sub-memos. You now can create sub-memos for contacts or matters.
• Zen KM now has an “All” tab to view all zen km items for all matters in one place. You can add dependencies, remove dependencies, edit, and view zen km items using the “Actions” column. You can also click “Bulk Actions” > “Add Tags” or “Remove Tags” to tag your zen km items.
• Client and Matter > Billing tabs now includes the “Payer” as a new column on the ledger entries table.
